Returns Tracking: Giving Customers Visibility on the Way Back

The Returns Blind Spot

Most merchants invest heavily in forward shipment tracking. The customer can see exactly where their order is every step of the way.

Then the customer wants to return something. They drop it at the post office… and then what? Silence. They have no idea if you received it, if the refund is being processed, or if their package is lost in reverse transit.

This is the returns blind spot — and it drives an enormous number of "did you get my return?" support tickets.

Why Returns Visibility Matters

  • Refund anxiety — customers are worried about their money. Every day without an update increases anxiety and the likelihood of a chargeback.
  • Trust building — proactively notifying customers when you've received their return builds enormous trust. It says: we're honest, we're watching, you're not forgotten.
  • Repeat purchase trigger — the "we've received your return and your refund is being processed" email is an ideal moment to include a discount code for their next order.

How to Set Up Returns Tracking

Step 1: Issue Return Labels With Tracking

Don't accept "ship it however" returns. Issue prepaid return labels with tracking numbers so you can monitor inbound parcels.

Step 2: Add the Return Shipment to TrackLogy

Create a return shipment in TrackLogy with the return tracking number. Tag it as a return in the order notes.

Step 3: Notify on Receipt

When TrackLogy detects the "Delivered" event on the return shipment, trigger a return-received notification to the customer.

Step 4: Follow Up on Refund Processing

24–48 hours after the return is received, send a "your refund is on its way" notification with the expected processing time.

The Competitive Advantage

Very few eCommerce stores do this well. Offering transparent, proactive returns tracking is a genuine differentiator — and one that customers remember and talk about.
